SALARY: FROM $90,887 to $121,180 DEPENDING ON EXPERIENCE AND QUALIFICATIONS

STATUS: FULL-TIME REPLACEMENT

DURATION: SEPTEMBER 2023 TO AUGUST 2024, WITH POSSIBILITY OF EXTENSION

Kativik Ilisarniliriniq (KI) is a school board offering educational services in the 14 communities of Nunavik.

FUNCTION & DUTIES:

Reporting to the Director of Administrative Services, the Administrative Services Coordinator (ASC) ensures the management of operational activities related to administrative services including but not limited to student files, certification of studies and the management of ministerial examinations – general education, youth sector, adult sector and vocational training.

 

The Administrative Services Coordinator is also responsible for the development, implementation, review and evaluation of departmental policies, rules and procedures, including school organization, admission requirements, enrollment and profiling, student assessments, declaration of enrollment, and student accompaniment in learning.

 

In general, this position includes the following responsibilities:

  • Contribute to the preparation of the departmental budget and monitor budget of select operations/ projects;
  • Participate in the development and implementation of up-to-date efficient and effective systems and databases/ files that respond to the needs of the department while supporting the overall organization and ensuring alignment with legal and governance requirements;
  • Participate in the development, implementation of departmental processes, internal procedures and policies and ensure monitoring as well as compliance in line with key performance measures.

 

Specific responsibilities:

  • In collaboration with Adult Education and Vocational Training, School Operations and Education Services, develop, implement, revise and evaluate departmental policies, rules and procedures such as:
    • School organization, admission requirements, enrollment, declaration of enrollment and student assessments;
    • Adult and Youth clientele projection, teacher calendar and schedule, registration, classification and promotion of students;
    • Collecting and transmitting data with respect to existing laws and requirements.

 

Management of the administrative unit:

  • Participate in resource selection and allocation;
  • Ensure supervision, coaching and professional development of all team members;
  • Identifies training needs and supports training and development for direct reports;
  • Establish work priorities and resource requirements for the department;
  • Participate in the technical work of the department as required;
  • Any other duties, as assigned by supervisor.

 

QUALIFICATIONS:

  • Undergraduate degree in a relevant field of study certifying a minimum three-year university program or hold a senior executive or senior staff position in a school board for which an undergraduate degree is required under the minimum qualifications
  • Five (5) years of relevant experience.

 

The Board may, at its discretion, waive any or all of the afore-mentioned qualification requirements if it finds a suitable candidate who is a beneficiary of the James Bay and Northern Québec Agreement and who accepts, as a condition of employment, to follow a training plan determined by the Board

 

REQUIREMENTS:

  • Spoken and written French and English is required;
  • Knowledge of the Administrative Guide for the Certification of Studies and Management of Ministerial Examinations General Education, Youth Sector, General Education Adult Sector, Vocational Training;
  • Strong technical knowledge in the relevant areas of Educational pathways, school organization and Data management;
  • Demonstrated ability to work effectively across all levels and functions of KI and to develop strong organizational knowledge and relationships;
  • Demonstrates knowledge and ability to use the Microsoft Office Suite (i.e. Outlook, Word, Excel and PowerPoint);
  • Knowledge of data software (Jade-Tosca, Charlemagne, DASH and Tosca-net).

 

CLASSIFICATION / SALARY / BENEFITS:

Class 8* as per the working conditions of managers from $90,887 to $121,180 annually depending on qualifications and experience. All benefits are prorated based on the percentage of the task.
