Administrative Agent - Mayor's Office

SCHEDULE: 33.75 hours per week, Monday to Friday from 8:30 AM to 4:30 PM

WORK LOCATION: General Management, 3131 Boulevard Saint-Martin West, Laval, H7T 2Z5
Under the functional authority of the Chief of Staff, you assist the mayor and the members of the executive committee in the administrative management of their activities. In this capacity, you coordinate schedules, prepare expense reports, produce correspondence and support the members of the executive committee in their communications with citizens.
More specifically:
- Supports and assists the members of the executive committee administratively (email filing, appointment scheduling, etc.);
- Invites elected officials to represent the mayor at various events and schedules them in their respective agendas. Confirms their participation and follows up on various related elements (speeches, meals, etc.);
- Based on supporting documents and according to established methods, prepares and submits the expense reports of elected officials, verifies budget allocations, and controls petty cash expenses;
- Formats, corrects, and transmits correspondence from the mayor's office;
- Organizes physical and computerized filing systems for files related to the mayor's office and keeps all files up to date, ensuring confidentiality is maintained when required.
- Hold a diploma of vocational studies (DEP) in secretarial studies, or equivalent;
- Have 2 to 3 years of experience directly related to the position;
- Excellent command of the French language, both oral and written;
- Proficiency in MS Office suite and other relevant computer tools for the position.
