Perform tasks related to matching and monitoring files subject to payment by the Finance Department. Discuss with City suppliers the progress of their files and the payment procedure.
- Receive, classify, and attach correspondence and documentation related to supplier files and, if necessary, communicate with them to obtain any missing documents;
- Verify supplier data, such as number, business address, company names, etc.;
- Ensure with the requesting Services that the invoiced goods have been delivered and that the purchase order is complete. Verify the signatures of authorized persons upon receipt of goods and services. Obtain all missing supporting documents;
- Perform mathematical checks of invoices and other supporting documents, obtain all relevant explanations from stakeholders regarding the files;
- Analyze invoices and other received documents to allocate payable amounts to each purchase requisition or bid. Ensure that the sum of the allocated amounts equals the total of the invoice or other documents.
- Hold a high school diploma (DES) or a vocational diploma (DEP) in a relevant field such as administration, accounting, or another related area;
- Have two (2) years of relevant experience in invoice processing and accounts payable;
- Proficiency in Microsoft Office Suite software, particularly Excel and Outlook.
