Tasks

Ø Answer and direct telephone calls

Ø  PAYROLL PROCESSING BY NETHRIS SYSTEM (MANDATORY)

Ø Manage contact lists

Ø Draft and distribute emails, correspondence notes, letters, faxes and forms

Ø Develop and maintain a filing system

Ø Update and maintain office policies and procedures

Ø Order office supplies and find new offers and suppliers

Ø Manage contact lists

Ø  Provide general support to visitors

Ø Act as point of contact for internal and external customers

Ø Provide information by responding to questions and requests

Ø  Ensure the operation of the equipment by fulfilling preventive maintenance requirements; call for repairs; maintain equipment inventories; evaluate new equipment and techniques

Ø  Maintain inventory of supplies by checking stocks to determine inventory level; anticipate necessary supplies; place and expedite orders for supplies; verification of receipt of supplies

Ø  Perform administrative tasks such as filing, typing, copying, binding, scanning, etc.

Ø Cover the reception

Ø Maintain computer and manual filing systems

Ø Manage sensitive information confidentially

Ø  Respond to inquiries by email, telephone or in person

Ø  Develop and update administrative systems to make them more efficient

Ø Receive, sort and distribute mail

Ø  Answer and forward phone calls

Ø Keep employee leave records up to date

Ø Compilation of pay schedules

Ø Coordinate repairs to office equipment

Ø  Welcome and help visitors

Ø  Photocopy and print documents on behalf of other colleagues

Profile

Ø Proven experience as an office secretary

Ø  Knowledge of office management systems and procedures

Ø  Working knowledge of office equipment, such as printers and fax machines

Ø   Proficiency in MS Office (MS Excel and MS PowerPoint, Word, Néthris payroll system, in particular)

Ø  Excellent time management skills and the ability to prioritize work

Ø Attention to detail and problem-solving skills

Ø  Excellent written and verbal communication skills

Ø Strong organizational skills with the ability to multi-task

Ø   High school diploma; additional qualification as administrative assistant or secretary will be an asset

Contractual information

SALARY: $20/H to $25/H DEPENDING ON EXPERIENCE

SCHEDULE: 8:30 AM TO 4:30 PM

DAY: MONDAY TO FRIDAY

POSITION: PERMANENT
