Reporting to the Property Manager, the Assistant Property Manager (APM) will support the Property Manager and the office management team in the day-to-day operations involved with the asset. The APM ensures the highest level of standards of tenant service, operational excellence and administrative support, contributing to the property’s financial, operational performance and the overall tenant experience.
Key Responsibilities
Tenant Relations & Customer Experience
- Establish and maintain positive tenant relationships by understanding tenant needs, addressing concerns promptly, and ensuring consistent, high-quality service.
- Support tenant onboarding and offboarding processes (move-ins, move-outs, orientations, access cards, etc.).
- Prepare and distribute tenant communications, newsletters, and memos as required.
Operational Support
- Support the day-to-day management of building operations, amenities, and common areas.
- Participate in regular property inspections with Operations to ensure compliance with standards and identify maintenance or safety concerns.
- Maintain building manuals, vendor files, and property documentation, ensuring annual updates and version control.
- Support energy management, sustainability, and ESG initiatives (e.g., BOMA Best, LEED, waste audits, green programs).
Financial & Administrative Management
- Assist with preparation and administration of operating and capital budgets in coordination with the Property Manager and General Manager.
- Support monthly, quarterly, and annual financial reporting, including variance analysis, reforecasting, and leasing assumptions.
- Review and process invoices, purchase orders, and expense reports for accuracy and coding.
- Maintain accurate tenant chargeback and recovery records in coordination with accounting.
- Assist in preparing financial summaries, annual reconciliations, and rent roll data.
Leasing & Legal Coordination
- Support the interpretation of lease terms and ensure adherence to tenant and landlord obligations.
- Track lease renewals, expiries, and amendments and support communication with leasing teams.
- Coordinate license agreements, storage agreements, and terminations as required.
Marketing & Community Engagement
- Assist with marketing and tenant engagement initiatives, including events, promotions, and seasonal activations within the asset.
- Support communication strategies to enhance tenant satisfaction and property branding.
- Collaborate with marketing and communications teams to promote building amenities and sustainability efforts.
Health, Safety & Risk Management
- Assist in maintaining compliance with corporate health, safety, and emergency preparedness programs.
- Participate in safety drills and ensure tenant contact lists and emergency procedures are up to date.
Other Duties
- Attend team meetings, tenant meetings, and other department functions as required, taking minutes where applicable.
- Provide general administrative and project support to the Property Manager.
- Contribute to continuous process improvement initiatives.
- Perform other duties and special projects as assigned.
Qualifications & Requirements
- Post-secondary degree or diploma in Business, Real Estate, or a related field preferred.
- Minimum 3 years of experience in commercial property management (office or mixed-use environment preferred).
- Enrolment or completion of RPA, CPM, or equivalent designation is an asset.
- Proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook); familiarity with Yardi preferred.
- Strong analytical, organizational, and problem-solving skills.
- Demonstrated ability to manage multiple priorities under pressure while maintaining attention to detail.
