Spare Parts Coordinator – After-Sales Service

Under the supervision of the After-Sales Service Manager, the After-Sales Service (SAV) Spare Parts Coordinator is responsible for coordinating the department's supply activities as well as the provision of spare parts. He or she must ensure that customer requests for the need for parts supply are met, while ensuring a quick and courteous response time. The mandate includes handling customer requests, being the main point of contact between customers and engineering, procurement and production resources, and coordinating parts and service tasks and deliverables, until the completion and closure of the service.

Responsibilities:

  • Be the company's sales representative:
  • Actively participate in parts and service sales;
  • Create parts offers for customers;
  • Prospect the company's target customers;
  • Estimate parts costs and sales;
  • Invoice parts and services provided;
  • Submit quotes to external suppliers when necessary;
  • Manage orders, supply and follow-up of parts orders ;
  • Coordinate the preparation of interventions on the material level:
  • Ensure the correct "kitting" of parts;
  • Find alternatives to resolve material availability issues;
  • Communicate with suppliers to resolve supply issues;
  • Communicate and plan material needs with the head of after-sales service.
  • Standardize and monitor order management:
  • Streamline the operation of the parts management process;
  • Plan the department's activities on the material level (interventions, preparations, standardization, etc.);
  • Report on the department's financial results regarding the supply of parts;
  • Carry out processes and transactions in the ERP:
  • Open Service projects After-Sales;
  • Make or coordinate material lists, prepare purchase orders, track deliveries and prepare shipments;
  • Ensure the preparation of invoices and work with the accounting department to ensure customer payment;

Qualifications / Requirements:

  • Work with a professional and positive attitude, and communicate effectively with customers and stakeholders;
  • Organized and meticulous;
  • Autonomous and able to advance several small projects at a time;
  • DEC or BAC in a field of planning and/or organization related to industrial manufacturing;
  • Minimum four (4) years of experience in the field of technical procurement and/or customer management.
  • Good knowledge of English, given that the nature of the position, interaction with clients located in the United States and English Canada.
  • Very good knowledge of Microsoft Office tools (Word, Excel, PowerPoint and MS Project);
  • Experience preferably within a company in the manufacturing sector or in the automation, integration or robotics sectors;
  • Experience with enterprise resource planning (ERP) software, an asset;

Excellent communicator, able to work in a team, rigorous and concerned with quality. He or she understands organizational issues and demonstrates the ability to make decisions in complex situations (budgetary issues, resources, etc.), to work with tight deadlines and to handle several files at once.
